Policies around The Clinic
Acessibility and inclusion
We recognize that any decision we make about accessibility involves a tradeoff. We aim to consider accessibility carefully in any choices we make. Some of the areas we will consider include:
- Financial considerations – We will consider how to be inclusive as possible to those on lower incomes. This will include making active decisions about the price of locations; and looking at possible ways to make attendance more affordable, such as the use of sponsored tickets.
- Physical access needs – We understand that people will have different needs regarding physical access. We aim to consider this when assessing sites, and will always state accessibility information clearly.
- Accessibility of text – We will provide large print, recorded audio, or other alternate methods for signup forms, character sheets, and other textual material, to anyone who requires them.
- Mental health needs – We will always provide an offgame space for people who need it. We will also consider any other needs players might have, including triggers and phobias; and will provide information about what to expect from the larp.
- Emotional needs – We will always provide content warnings. All larps will have safewords to stop play when necessary, and we will make sure that any techniques regarding intimacy and violence are fully workshopped.
- We don’t cast based on appearance or physical characteristics, and we expect that players at our larps will not base their play upon these factors.
- We will always help steer your game or give information and advice as needed.
Photography
We will have an ‘invisible’ photographer present at The Clinic. This means that this person will not be present in the larp’s reality, and your characters will not be aware of their presence: you should generally just ignore them.
But, if you don’t want to have photos taken of you during the larp, that’s absolutely fine of course: we will communicate that to the photographer, and they will avoid taking pictures of you. If they do happen to accidentally take some, then these will be deleted before being shared with anyone else.
After the larp, all participants will have the opportunity to approve all photos that are selected for potential sharing. If you see any photo that you don’t want shared, tell us, and it will be taken down. Once this approval process is complete, the photos will be released for participants to share if they wish. We require that no-one should tag anyone apart from themselves in a photo.
We may also use approved photos ourselves as support media for communications about The Clinic; and the photographer may use them as part of their portfolio. In these cases, no participants will be identified.

Alcohol and drugs
During the larp: we will be providing a limited amount of alcohol. We require that participants drink only in strict moderation. Anyone judged to be drunk will be excluded from the larp.
The reason for this is that we want to be absolutely clear that we can distinguish your character being drunk from you being drunk.
At the after-party: we will provide alcohol, and you may also bring your own. We will still be expecting people not to drink too much.
Recreational drugs: there must be no consumption of recreational drugs either during the larp or at the after-party.

Transparency of decisionsWe aim to be as transparent as possible about the decisions that we make, except in cases where we feel that transparency may impact player safety.

Refunds
If you have been allocated a place at The Clinic and have made payment, and then you later find that actually you can’t attend the larp, we will aim to refund you. However:
- The amount refunded will be reduced by an administration charge of EUR 10, and by any bank/PayPal fees that we have had to pay regarding your transaction.
- If your refund request is within 12 weeks of the start of the larp, we will refund a maximum of half of what you have paid.
- If your refund request is within four weeks of the start of the larp, we will refund a maximum of a quarter of what you have paid; and we may not be able to make a refund at all.
- If it’s within two weeks of the start of the larp, we are unlikely to be able to refund you.
Data and privacy
We will operate in compliance with the UK Data Protection Act 1998 and with the EU General Data Protection Regulation (GDPR). We will only gather data from you as required to organize our larps and to communicate with you. We will always tell you what we are using each piece of data for. You can require that we change or delete your data at any time, and can request a copy of the data we have about you. Your personal data will be kept securely, and will be kept no longer than necessary.
